The Administrative Assistant provides essential support to the organization by performing a variety of administrative and clerical tasks. This role ensures efficient day-to-day operations and helps staff, leadership, and external partners remain organized and productive. All New Horizons’ Staff are expected to study, practice and operate within the New Horizons’ Philosophy of Keeping Kids First.

Standard office environment with regular business hours. May require occasional overtime or flexible scheduling to meet deadlines. Will interact with all members of the agency, many external partners and families/kids receiving services from the agency.

Duties and Responsibilities
- Serve as the first point of contact for visitors, calls, and general inquiries.
- Manage conference room calendars and assist with coordinating meetings.
- Organize and maintain digital and physical filing systems.
- Assist with data entry, recordkeeping, and database management ensuring all files are stored in a secure and functional manner.
- Accurately managing data entry in our electronic database system including all referral information for programs.
- Track office supplies, place orders, and coordinate with vendors as needed.
- Process incoming and outgoing mail and deliveries.
- Uploading new hire training information
- Work collaboratively with other personnel and/or service providers and professionals.
- Ensuring office equipment remains operable.
- Provide general administrative support to staff and leadership as assigned.
Qualifications
- Must possess a professional demeanor and strong interpersonal skills.
- Must be at least twenty-one (21) years of age.
- Applicants must have a High School Diploma or equivalent, with one (1) year administrative/clerical/secretarial experience or nine (9) months’ formal training.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office technology.
- Must have the ability to operate various office equipment.
- Must have basic accounting skills.
- Must be familiar with forms maintenance, filing, and supply accountability.
- Must have insight and understanding of cultural diversity and have the ability to work with diverse populations.
- Must pass a criminal background check, drug screen, and tuberculosis screening.
- Strong organizational skills with attention to detail.
- Excellent written and verbal communication abilities.
- Ability to maintain confidentiality and handle sensitive information.

Physical Requirements
Employees should expect prolonged periods of sitting at a desk and working on a computer. Should have the ability to lift up to 20 pounds occasionally (such as boxes of files, office supplies, or event materials). Will require the frequent use of hands and fingers for typing, filing, and handling documents. Must have the ability to bend, stoop, and reach for filing and storage. This position may occasionally be required to assist with setting up meeting rooms or events. Employees must have the ability to travel locally for errands, meetings, or events as needed (valid driver’s license and reliable transportation may be required).
